Prison Network Improves Program Management With Integrated Forms

While Prison Network was already utilizing Salesforce as their CRM, with the help of FormAssembly consulting partner, Blaze Your Trail, they were able to leave paper processes in the past and build an easy-to-use system for volunteer tracking, powering important programs like Fun with Mum and others, supporting women in Australian prisons and their families.

Challenge

Prison Network’s outdated data collection processes consisted of volunteers manually tracking the participating families in programs like Keeping Kids Connected. The volunteers struggled to log family details – their participation days, times of visits, and transportation needs. The outcome was lost, inaccurate data, and burdensome stacks of paperwork. When the Prison Network explained their data collection process to Kirsten Finger at Blaze Your Trail, Finger knew that FormAssembly could streamline processes for them.

It’s not limited to use by volunteers, the staff members have opted to use it to replace a very manual process for what we’ve built inside Salesforce. It’s a massive time saver.

With help from Blaze Your Trail and FormAssembly, the Prison Network gained cleaner data and streamlined volunteer operations. Better yet, they can now monitor the impact of their services and track transportation logistics and family visits for prison reports.

While transitioning from paper to electronic processes has provided another small set of issues due to the restrictions in prisons, Finger says that those far outweigh the consequences of having the inaccurate and missing data they dealt with before. One of her favorite outcomes from implementing FormAssembly is the ability to manage “Fun with Mum” sessions in Salesforce, including the date, time, location, and names of all family members invited to the session.

Now, volunteers have all of the necessary information they need for a successful and memorable visit. Real-time updates through FormAssembly’s Salesforce Connector ensure that volunteers are seeing accurate, up-to-the-moment information.

The Features That Make It Possible

Repeatable fields

The Prison Network uses repeatable fields for ease of use when adding family members for programs and visitation. This also creates a relationship in Salesforce between mother and children.

Conditional logic

While filling out critical forms, conditional logic is utilized to add children to families, up to five per family.

File upload

With built-in file uploads, Prison Network volunteers have the ability to instantly upload signed parental consent forms into family records within Salesforce.
