Overview
Stanford University’s Office of Accessible Education (OAE) supports disabled students with academic and housing accommodations. Previously, the Reduced Course Load Request (RCL) form involved a manual, paper-based process requiring multiple signatures across campus, leading to delays and barriers. OAE has automated this process by digitizing and streamlining form management, breaking down data silos, and enhancing accessibility for both students and staff.

Before FormAssembly, the OAE’s Reduced Course Load Request (RCL) process was inefficient, relying on a manual, paper-based workflow that required multiple signatures from campus offices and additional approval for international students. This led to fragmented data, accessibility issues, and delays. The OAE needed a solution to modernize and streamline their form handling. With FormAssembly’s Salesforce integration, they digitized the process, improved data flow, and enhanced accessibility, simplifying approvals for both internal and external stakeholders and increasing overall efficiency in managing RCL requests.

Digital process eliminating physical barriers
Solution
Digitizing the RCL request forms addressed significant challenges for both international and domestic students by eliminating physical barriers for those with disabilities and streamlining a previously untrackable paper process, which was hindered by incomplete forms and missing signatures. The OAE developed a tracking portal to enhance visibility into the progress of requests for international students and staff. Additionally, FormAssembly’s approvals feature allowed advisors across multiple departments to review and approve applications while maintaining data integrity, without having the ability to alter the data, thereby improving visibility and ensuring accurate information.
The OAE is now able to track how quickly the applications are completed showing that 82.8% are completed and approved within two days of being started!
Results
As a direct result of implementing FormAssembly with Salesforce, Stanford’s Office of Accessible Education created a more student and staff-friendly reduced course load request form through a fully digitized form process.
